Maxim Facilities Management Limited Coronavirus Pandemic Policy and Business Continuity Statement

It is the policy of the Maxim Facilities Management Limited to ensure so far as is
reasonably practicable, the health, safety and welfare of all employees working for the
company and other persons who may be affected by our undertakings.
The Directors of the Company are totally committed towards the delivery of its
contractual obligations and will always seek to continue to operate as normal as possible
during a pandemic situation. Coronavirus is a highly infectious viral illness, has the
capacity to spread rapidly, affecting both company employees and customers alike and
as such requires specific planning for, over and above policies created for other
disasters.

During such situations the Company will seek to reduce the overall and specific risks to
both employees and customers alike by increasing employee awareness and taking
appropriate action to combat the spread of the virus and maintain service delivery.

Service Delivery

The company will continue to work closely with its varied customer base and will (in
consultation with clients) identify areas / items unique to each workplace environment
requiring specific cleaning / attention, over and above those common to all
environments.

General experience suggests that employees respond well during periods of crisis and
major incidents. Consequently, the company would encourage a culture of
reasonableness and negotiation, coupled with an expectation that clients would act
reasonably in the event that cleaning staff become infected and are unable to attend for
work. Thereafter, the company would, in consultation with clients, endeavour to ensure
continuance of service delivery to expected standards via numerous methods:

– Offering overtime to remaining staff
– Additional use of part time staff (operative and supervision)
– Use of long-term cover staff
– Changing cleaning times to enable fit and able staff to work across multiple locations
– Increase use of mobile cleaning teams
– Short term alteration of work patterns
– Short term amending of work schedules
– Holiday rescheduling where feasible

Maxim Facilities Management Limited are confident that with the continued support of
both its customers and employee’s the Company does have the ability to continue
providing a service during this Coronavirus Pandemic and that it will where possible be
fit for purpose and meet customer expectations.
